FoodShare Front Office Ambassador and Volunteer Facilitator

FoodShare Toronto is seeking a Front Office Ambassador and Volunteer Facilitator to join our dynamic and passionate team.

As a member of the Administration team the Front Office Ambassador and Volunteer Facilitator will play an integral role in supporting the whole organization through the co-ordination of administrative, communication and volunteer activities. Reporting to the Operations and Administration Manager, the successful candidate will be the first point of contact for all inquiries from donors, customers, program participants, partners, volunteers, staff and the public. S/he will be responsible for office administration functions as well as coordinating all volunteer communication, orienting and administration and some community outreach responsibilities. The role will also require a great amount of initiative in the development of successful administrative practices and implementation.

This is a key position for FoodShare and requires an individual with exceptional organizational, communication and customer service skills, who can excel in a fast-paced, changing and diverse environment.


Responsibilities:

  • Answer all general phone, email and in-person inquiries and redirect calls and messages as required
  • Manage incoming and outgoing mail and couriers
  • Order office supplies and upkeep of the supplies storage
  • Coordinate all service, maintenance and repair issues with the office machinery
  • Search for and archive media coverage of FoodShare
  • Help build and maintain relations with all FoodShare stakeholders and all who are interested in our work through thorough, polite and professional handling of all inquiries and requests
  • Coordinate distribution of daily mail
  • Arrange meetings and act as central booking for meeting spaces
  • Prepare reports as needed
  • Additional administrative tasks as needed
  • Act as back up support for the FoodLink Hotline, managing messages and calls on an as-needed basis
  • Receive and respond to all requests to volunteer, interview and place volunteers
  • Maintain volunteer attendance and information database and record keeping
  • Coordinate will all program managers to plan and schedule volunteer attendance to cover varying needs
  • Host frequent volunteer intake days
  • Conduct tours of FoodShare site and programs for visitors

Qualifications:

  • Experience in a similar role

  • Excellent verbal and written communicator
  • Exceptional interpersonal and communication skills
  • Friendly, helpful and professional manner
  • Superior attention to detail
  • Excellent Time management and prioritization abilities
  • Outgoing, confident and self-motivated
  • Demonstrated and extensive administrative abilities
  • Extensive working knowledge of Microsoft Office Suite and the Internet
  • Demonstrated ability to manage the volunteer program
  • Interest in and passion for food security and social justice issues an asset

Hours of work:
Full-time, 37.5 hours per week.

Salary:
$32,000 a year plus generous benefits plan
